Integrated vs Standalone Card Machines: What's the Difference?

Moola handheld EPOS terminal

An integrated card machine is connected to your EPOS, so the bill total is sent to the terminal automatically. A standalone card machine works on its own, so staff type in every amount by hand. Integration removes keying errors, speeds up service and makes reconciliation far easier.

How a standalone card machine works

With a standalone terminal, your EPOS calculates the bill, then a member of staff reads the total and types it into the card machine. The payment is recorded on the card machine, separately from the sale on the EPOS. At the end of the day, someone has to match the two.

How an integrated card machine works

With integrated payments, the EPOS sends the exact amount to the card machine. The customer pays, and the payment is recorded against the right order or table automatically. There is no retyping and no second system to check.

The differences that matter day to day

  • Errors: typed amounts lead to overcharges and undercharges. Integration removes that risk.
  • Speed: at busy times, every second at the till counts. Sending the amount automatically shortens each transaction.
  • Tips and split bills: integrated systems record tips and splits against the order, so reports stay accurate.
  • Reconciliation: sales and card takings already match, so end-of-day checks take minutes rather than an hour.

Is integration right for every business?

If you only take a handful of card payments a day, a standalone terminal may be enough. For restaurants, cafés, bars and hotels with steady volumes, integration usually saves enough staff time and avoids enough mistakes to be worth it.

What to check before you switch

Make sure your payment provider integrates with the EPOS, booking or property management system you already use. Ask how tips, split bills and refunds are handled, and how quickly payments settle into your account.

How Moola helps

Moola connects with virtually every EPOS used in UK hospitality and retail, including Oracle Simphony for larger groups, so most businesses can keep their current till and switch only their payments. Read about integrated payments or request a callback.
